Booking Process

How do I book a tour with Odyssey Adventures?

You can book through our website, call us directly, or send an email. We'll respond within 24 hours with confirmation and payment details. You can also fill out our contact form with your travel dates and preferences.

What payment methods do you accept?

We accept credit/debit cards (Visa, Mastercard), bank transfers, mobile money (MTN, Airtel), and PayPal. For large group bookings, we can arrange flexible payment plans.

What is your cancellation policy?

Cancellations made 30+ days before travel receive 90% refund, 15-29 days receive 50%, 7-14 days receive 25%, and less than 7 days are non-refundable. However, we offer flexible date changes subject to availability.

Do I need to pay a deposit?

Yes, we require a 30% deposit to confirm your booking. The balance is due 14 days before your travel date. For last-minute bookings (within 14 days), full payment is required upfront.

Travel Requirements

Do I need a visa to visit Rwanda?

Most nationalities can get a visa on arrival for $50 (30 days). Many African countries enjoy visa-free entry. We recommend checking with the Rwanda Directorate General of Immigration or your local embassy. We can assist with visa processing if needed.

What vaccinations are required?

Yellow fever vaccination is mandatory if traveling from an endemic country. We recommend vaccinations for Hepatitis A & B, typhoid, and routine immunizations. Malaria prophylaxis is advisable for certain regions. Consult your doctor 6-8 weeks before travel.

What should I pack for Rwanda?

Lightweight, breathable clothing for warm days and a jacket for cool evenings. Sturdy hiking boots for treks, sun protection, insect repellent, and rain gear. For gorilla trekking, bring waterproof pants, gardening gloves, and long sleeves.

Is Rwanda safe for tourists?

Rwanda is one of Africa's safest countries with very low crime rates. Kigali is particularly safe, even at night. We provide 24/7 emergency support, and our guides ensure your safety throughout your journey.

What safety measures do you have in place?

All vehicles are regularly maintained and insured. Our guides are trained in first aid and emergency procedures. We provide comprehensive travel insurance options, GPS tracking for all vehicles, and 24/7 emergency support hotline.

Do you provide travel insurance?

We strongly recommend travel insurance and can facilitate comprehensive coverage including medical evacuation, trip cancellation, and lost luggage. We work with leading insurance providers to offer competitive rates.

What happens in case of an emergency?

Our 24/7 emergency line is always available. We have protocols for medical emergencies, lost documents, and other urgent situations. We maintain relationships with hospitals, embassies, and local authorities to respond quickly.

Are your guides certified?

Yes, all our guides are licensed by the Rwanda Tourism Board. They undergo regular training in customer service, safety protocols, first aid, and cultural sensitivity. Many have specialized certifications for activities like gorilla trekking.

Tours & Activities

How difficult is gorilla trekking?

Difficulty varies from moderate to challenging depending on the gorilla family location. Treks can last 2-8 hours through mountainous terrain. A reasonable fitness level is required. We offer porter services and recommend training before your trip.

Can I customize my tour package?

Absolutely! We specialize in custom itineraries. Tell us your interests, budget, and time constraints, and we'll design a personalized experience. Whether it's extending stays, adding activities, or special dietary needs, we'll accommodate.

What's included in tour packages?

Most packages include accommodation, meals (as specified), transportation, guide services, park fees, and listed activities. International flights, visas, travel insurance, tips, and personal expenses are typically not included.

Do you offer group discounts?

Yes! Groups of 4+ receive 10% discount, 8+ receive 15%, and 12+ receive 20%. We also offer special rates for schools, corporate groups, and conference delegates. Contact us for a custom group quote.

Pricing & Payments

What currency should I bring?

The Rwandan Franc (RWF) is the local currency, but US Dollars are widely accepted (use bills from 2009 or newer). ATMs in Kigali accept international cards. Mobile money is popular for local transactions. We can help with currency exchange.

Are tips included in the package price?

Tips are not included and are at your discretion. Suggested amounts: guides $10-15/day, drivers $5-10/day, porters $15-20. For gorilla trekking porters, $15-20 is customary. Restaurant tips are typically 10%.

Can I pay in installments?

Yes, for bookings made 90+ days in advance, we offer payment plans: 30% deposit, 40% at 60 days, and 30% at 30 days before travel. This helps spread the cost and makes planning easier.

Do prices vary by season?

Yes, we have high season (June-September, December-February) and low season (March-May, October-November) pricing. High season is drier and better for trekking but more expensive. Low season offers discounts up to 25%.

What language is spoken in Rwanda?

Kinyarwanda is the national language, but English and French are official languages. English is widely spoken in tourism areas. Our guides are multilingual and can arrange translators for other languages if needed.

What is the weather like in Rwanda?

Rwanda has a temperate climate year-round. Daytime temperatures range 24-27°C (75-80°F). The dry season (June-September) is ideal for trekking. The wet season (March-May) has afternoon rains but lush, green landscapes.

How far in advance should I book?

For gorilla permits, book 6-12 months ahead (they sell out fast). Regular tours can be booked 2-4 months before travel for best availability. Last-minute bookings are possible but may have limited options.

Can you accommodate dietary restrictions?

Yes! We cater to vegetarian, vegan, halal, kosher, gluten-free, and other dietary needs. Inform us during booking, and we'll coordinate with hotels and restaurants. Rwanda's cuisine is naturally diverse and accommodating.
